Enhanced progress reports experience

We are thrilled to introduce updates to the ‘Progress reports’ module to improve efficiency for both school admins and educators. As an admin, you can now manage reports more easily with new bulk actions, and if you are an educator, you can quickly find and filter reports with improved organization and bulk download reports for added convenience.

Let’s dive into the details for each one of them.

Progress reports updates for admins

Navigate to the Progress reports module

Navigate to the ‘Progress reports’ module under ‘Programme-wide configurations’ for your curriculum in the Admin portal.

Once inside, go to the ‘Progress report sets’ section, where you can access existing reports and create new ones. Click on a report set to access its details and manage reports within it.

New bulk actions for managing reports

Within a progress report set, you can now perform bulk actions across grade levels, making it easier to manage reports efficiently.

Let’s take a closer look at each of these actions.

  • Lock/Unlock progress reports: Select one or more grades and use the ‘Lock progress report’ option to lock all reports that have the ‘Pending’ status. Once locked, the ‘Unlock progress report’ option becomes available, allowing you to unlock reports if needed. Keep in mind that the ‘Unlock’ action only applies to reports with the ‘Locked’ status. For example, in the screenshot below, if you select all reports for DP 1 and DP 2 and choose to unlock them, then the reports with the pending, shared, and excluded status won’t get impacted.

💡 Please note that only you as an admin can lock or unlock reports; teachers do not have access to this action. However, any changes you make will be reflected on the teacher’s end, ensuring they stay informed about the report status.

  • Share with family and students: Once reports are completed and locked, you can share them in bulk with families and students by selecting one or more grades and clicking the ‘Share with family and students’ icon. This option is only available for reports that have the ‘Locked’ status, while the reports with the pending, shared, and excluded status remain unaffected.

💡Please note that teachers do not have the ability to share reports; only admins can do so.

  • Withdraw shared reports: Use the ‘Withdraw shared reports’ option to unshare any reports that have been shared with students and families. This option is only available for reports that are currently shared. For example, in the screenshot below, only the shared reports in DP 1 will be withdrawn.

💡Pro tip: If you need to make changes to a shared report, you must first withdraw it. Once withdrawn, the option to unlock the report becomes available, allowing you to proceed with any modifications.

  • Download progress reports: This option allows you to download reports, but only those that are locked/shared. Reports are downloaded in PDF format for easy sharing and record-keeping. When performing a bulk action, the system generates a ZIP file containing individual PDF reports for each student whose report is either locked or shared.

  • Export progress report data: This option allows you to export progress report data in a spreadsheet format. When selected, a modal appears, letting you choose from various export formats. You can export the data in different formats, including one that includes all fields (even those left empty), another that exports only locked reports with completed fields, and a raw data format for locked reports.

Additionally, you can access more options under the three-dot menu in the ‘Actions’ column for each grade, depending on the status of the reports:

  • If the selected grade has pending reports, you will see the options to ‘Edit student list’ and ‘Edit attendance range’.

  • If there are no pending reports, the ‘Edit attendance range’ option is replaced with ‘Download progress reports’.

💡Please note that in the IBMYP curriculum, the three-dot menu also includes an option to ‘Edit criteria’.

When you enter a report set for a specific grade, you will see the same bulk action options as before. However, now a toolbar appears at the bottom of the page when you select one or more student reports, making it easier to manage actions in bulk. This toolbar displays the total number of selected reports and allows you to quickly choose actions such as lock, unlock, share, withdraw a shared report, include students, exclude students, or download reports.

💡Please note that bulk actions work differently at the grade level compared to when selecting multiple student reports within a grade. When selecting reports within a grade, you cannot choose reports with mixed statuses. For example, if you want to lock reports, you should only select reports that are currently unlocked. If you select both unlocked and shared reports, the bulk action options will not be available in the toolbar at the bottom of the page.

Navigating to progress reports

To begin, go to the ‘Progress reports’ module from your homepage.

Easier report organization with categories

Inside the ‘Progress reports’ module, reports are now categorized into ‘Ongoing’ and ‘Previous reports.’ Ongoing reports include those that are still in progress and require updates, while previous reports are those that have already been shared with families and students. This improved categorization allows for quicker access and a more streamlined reporting process.

Each report set displays key details, including its deadline, associated grading period(s), and the mapped grades. To quickly find relevant reports, you can also filter them by grading period(s).

When you go inside a report set, you will see the tagged grades along with their associated reports and statuses, such as pending, locked, shared, and excluded - just as before. Click on a grade to access the reports and review them in detail.

New bulk action to download reports

In the ‘Student view,’ you can now use the bulk selection option to download a set of reports within a grade.

💡Please note that only reports with a ‘Locked’ or ‘Shared’ status can be downloaded in bulk. If you select any reports that are still unlocked, the option to download selected reports will no longer be available.

Additionally, you now have a new option to filter reports by their status, allowing you to quickly access pending, completed, locked, shared, or excluded reports. This makes it easier to focus on specific reports without scrolling through the entire list.
