Toddle provides a seamless way for administrators to share progress reports with students and their family members. You can share reports in bulk or individually, enabling families and students to conveniently access them directly on Toddle.
Navigate to Progress reports
To share progress reports with students and their family members, follow these steps:
Go to the Admin portal
Click on Programme level configurations
Select your preferred curriculum (e.g., PYP, MYP, etc.)
Click on Progress reports
(You’ll be taken to a list of all configured report sets for that curriculum)Open your preferred report set – e.g., Final report.
Once inside the report set, you’ll see a class-wise/grade-wise breakdown of reports. From here, you can choose to share reports with students and family members in bulk or individually.
Note: Reports must be in the Locked state in order to be shared.
Share reports in bulk
You can choose to share reports in bulk either for classes/grades or for students.
Share reports by selecting classes/grades
Select all or specific class/grades reports and click the ‘Share with family and students’ icon at the bottom. Locked reports in selected classes will be shared, while reports with other statuses will remain unchanged.
A pop-up will appear to confirm if you want to notify students and families. This option is checked by default. Confirm your selection and click ‘Yes, share progress reports’ to proceed.
Share reports by selecting students
Enter your preferred class/grade report and choose all or specific students as needed. Then click the ‘Share with family and students’ icon at the bottom. Once you hit confirm in the pop-up window, students and families are notified and can access the reports directly on Toddle.
Share reports individually
Click the three-dot menu next to the preferred student within a class/grade, and click the ‘Share with family & students’ option. The rest of the process remains the same as explained above.
Note: You will see the ‘Share’ option only if the report is locked.
Notifications on the student/family end
Once reports are shared, students and families will receive both in-app and email notifications, and can view the reports on the Toddle web or mobile app. The following examples show student notifications; family members receive similar ones as well.
Via email
Students/family members will receive an email once the school shares a report with them. The email will come from “[school’s name] via Toddle” with the subject line: “New Progress report is shared.”
They can simply click on the ‘View progress report’ button in the email to access the report.
Via the in-app notification
Student/family members receive a notification each time a report is shared with them. To view the notification, they can click the bell icon in the top-right corner of their homepage.
Then, click on the relevant notification to go directly to the report.
Withdraw a shared report
You can unshare a report either individually or in bulk using the toolbar at the bottom or the three-dot menu under ‘Actions’. Once a report is withdrawn, it will remain locked and must be unlocked before any changes can be made.
Once a report is withdrawn, students and family members will no longer see the in-app notification for it. The email that was originally sent will remain in their inbox; however, they will not be able to access the withdrawn progress report.
Track report views by families and students
You can track whether students or families have viewed shared progress reports, helping you monitor engagement and ensure timely follow-through.
To access this data:
1. Navigate to Admin portal→Reporting setup→Progress report sets.
2. Click the three-dot menu under the ‘Actions’ column for any report set.
3. Select the ‘Export report set’ option.
4. Choose the ‘Export report access history’ option and click ‘Export.
This will download a single sheet containing the following details:
Grade name, Student UID and Student name
Student view details: The student’s name and the timestamp of their first view.
Family view details: The name(s) of the family member(s) who have viewed the report (separated by semicolon) and the timestamp of the first view.
If a report has not been opened yet (by either the student or a family member), the corresponding cell will show a hyphen (–) with a highlighted background.
Note: The names shown in the sheet match the display names used on Toddle.
