As a school administrator, you have the ability to send invitations to the family members of the students in your school. This will enable them to seamlessly join Toddle and become active participants in their child's learning journey.
There are 3 ways to invite family members on Toddle:
Option 1: via Email
Option 2: via Class invite link
Option 3: via downloaded family invites
Invite family members
To invite family members of the students in your school, navigate to the ‘School setup’ on the admin portal and click on the ‘Family members’ tab from the left pane.
Within the ‘Family members’ tab, you'll find a list of all students in your school along with the connection status of their respective family members.
On this page, you can search for specific students or family members as well as apply class filters to obtain a class-wise list of connected family members. You will also find information on the number of students whose family members are connected on Toddle, providing insights into the level of family engagement within the platform.
Furthermore, if you want to invite family members for a specific curriculum, you can navigate to the desired curriculum using the left pane.
Let’s now understand the different ways in which you can invite family members.
Option 1: via Email
You can send email invites to the family members of your students, either in bulk or individually.
Sending bulk email invitations
1. Click on the ‘Bulk update family members’ button on the top right
2. Download the provided spreadsheet, which is specifically designed for filling in family information.
3. Open the spreadsheet and refer to the instructions provided on the first tab to guide you through the process.
4. Fill in the necessary family information in the spreadsheet, following the specified format.
5. Once done, upload the updated spreadsheet back on Toddle.
6. Next, select your preferred language for sending the email invites and click on ‘Upload’.
As soon as you upload the file with all data filled in correctly, email invites are auto-generated to the family members added in the file. Once they accept the invite, they will be connected to Toddle.
Sending individual email invitations
1. Click on the three-dot menu against a student’s name.
2. Click on the ‘Invite family via email’ option, as shown below.
3. Next, fill in the family details (first name, last name and email) in the modal window that opens up.
4. You can also send invites to multiple family members of this student in one go, by using the ‘Add another family member’ option.
5. Click on the ‘Send invite’ button on the bottom right to send the email(s).
This action will send invitations to all the family members you have added. As a result, their Invitation status on your dashboard will change to 'Invite sent'. Once family members accept the invite on their email, the status will change to ‘Connected’.
Sending individual email invitations from student profile
You can also send email invites to family members directly from the student’s profile by following these steps:
1. Within ‘School setup’ page, navigate to the 'Students' tab.
2. Locate and click on the name of the student whose family members you want to invite.
3. You will be directed to the 'Overview' tab of the student's profile. Scroll down to find the 'Family information' section.
4. In this section, click on the 'Invite family members' option to initiate the invitation process.
5. A modal window will appear. Fill in the family details, including their first name, last name, and email. If there are multiple family members to invite for this student, you can include them by using the 'Add another family member' option.
6. Select the language for sending the invite and click on the 'Send invite' button.
7. Once family member(s) accept the invite on their email, they will be connected to their child’s dashboard on Toddle.
💡Invites sent to family members have an expiration period of one week. If the status indicates that an invite has expired, you will need to resend it to ensure that the family member receives a current and valid invitation.
Here is a sample email invite that is sent to a family member:
Option 2: via Class invite link
You can invite family members of your students to Toddle using the class invite link in a few simple steps as explained below.
1. Choose your preferred curriculum from the left pane and click on the ‘Download’ button to download family class invite links for all classes within that curriculum.
2. The downloaded file will provide a list of all classes along with their respective invite links.
3. Copy the appropriate invite link based on the class and share it with the family members of the respective students.
4. Family members can use the provided link to choose the specific child they want to connect with.
5. When a family member selects a child, it triggers an approval request on your dashboard. As a result, their invitation status will change to 'Approval requested’.
6. From the dashboard, you can click on the family member’s name to respond to their approval request.
7. You will be navigated to the family member’s profile page where you can either approve or reject their request(s).
Once the request is approved, the family member will gain access to their child's activities on Toddle.
💡Family's access to the student's information remains locked until you accept their request or choose to reject it.
Option 3: via downloaded invites
You can also invite family members using the downloaded invites. Follow these steps to provide family members with a unique login code or scannable QR code to connect to Toddle.
1. Use the three dot-menu against a student and select ‘Download family invite’.
2. Next, select the preferred language for the invite and click on 'Download' to generate the invite in PDF format.
3. The downloaded PDF contains a unique family invite text code and a scannable QR code.
4. You can share this pdf with family members either via email or as a physical copy.
5. Family members can access their child’s dashboard on Toddle either by entering the text code or scanning the QR code.
Inviting family members to Toddle will help them stay connected with their child’s learning journey in a seamless manner.
