How to invite family members on Toddle as an admin?

As a school administrator, you can invite family members of students in your school to join Toddle, enabling them to participate in their child’s learning journey.

Toddle offers three ways to invite family members:

Navigate to the family roster

To begin, click the Toddle icon in the top-left corner of your homepage and select the ‘Admin portal’ from the dropdown menu.

From the admin portal, head to Members → Family members.

Use this page to view family members based on their connection status, and filter the list by class or by active and blocked students.

Furthermore, if you want to manage family members for a specific curriculum, you can navigate to the desired curriculum section using the left pane.

1. Sync via your Student Information System (SIS)

If your school has an existing SIS integration with Toddle, family data can be synced directly one-way. When family members are rostered via SIS, they are auto-connected to their child(ren) on Toddle as per the information received through sync.

2. Invite via email

You can send email invites to the family members of your students, either in bulk or individually.

Bulk invites

Via the ‘Invite family members via email’ button

1. Click the 'Invite family members via email' button located at the top of the page.

2. In the pop-up, you can search for a student by name. Fill in the family member’s information, including first name, last name, and email. Click '+ Add' to add more members for one student. Once the selections are confirmed, click the 'Invite X family member(s)' button.

3. Select the language for the email invitation and click 'Send'.

4. This action will send invitations to all the family members you've added. Their Invitation status on your dashboard will change to ‘Invite sent’. Once a family member accepts the invite via email, their status will update to ‘Connected’.

Invitations expire after one week. If an invite has expired, you'll need to resend it to ensure the family member can connect.

Via the ‘Bulk update family members’ button

Use this option to invite new family members or update details of existing ones in bulk.

1. On the ‘Family members’ page, click the 'Bulk update family members' icon.

2. In the pop-up, click 'Download current info in XLSX files'. This file is pre-populated with your school's student data and any connected family members.

3. Open the downloaded file:

  • In the Family sheet: Add or edit family details (First name, Last name, and Email) for each student.

  • In the Settings sheet: If you want to reinvite family members who haven’t accepted the invite yet, set the value to ‘TRUE’. The default value is ‘FALSE’.

Tip: Always update the latest XLSX file of the current family roster to prevent overwriting or deleting data. For a successful upload, follow the instructions in the ‘How to use this template’ sheet. Incorrect entries will cause the system to reject the data.

4. After saving your changes, upload the file by clicking 'Attach XLSX file'. Select the language for the invitation email and click 'Upload'.

5. After uploading your changes, a pop-up will summarize the updates to your family member records. Here's what you'll see:

  • Added: New family members who will be added and sent an email invitation. This also applies if an existing email was changed to a new one.

  • Note: When you update a connected family member’s email, the previous connection is removed and a fresh invitation is sent to the new email address.

  • Modified: Family members whose details (First name, Last name) you updated on the sheet.

  • Reinvited: Family members who were previously invited but haven't accepted yet.

  • Deleted: Family member's email was removed from the sheet. They will be disconnected and removed from the student's profile in Toddle.

Once confirmed, click ‘Update’.

Via the bulk actions bar

Use the Bulk actions menu to invite one or more family members to connect to Toddle.

Select one or more students using the checkboxes, click Actions in the floating bar at the bottom, and choose ‘Invite family via email’.

In the modal that opens, fill in the family member’s information, including first name, last name, and email. Click '+ Add' to add more members for one student. Once the selections are confirmed, click the 'Invite X family member(s)' button.

Select the language for the invite from the drop-down, and click ‘Send’.

Individual invites

Via the three-dot menu

Simply click the three-dot icon against the student whose family member you wish to invite. And select ‘Invite family via email’ from the drop-down.

Choose the language of the invite from the drop-down menu, and fill in the family member’s information, including first name, last name, and email. Click '+ Add another family member' to add more members for one student. Once the selections are confirmed, click the 'Send invite' button.

Via a student’s profile

Navigate to the admin portalMembersStudents page.

From here, click on the name of the student whose family members you want to invite.

You will be directed to the 'Overview' tab of the student's profile. Scroll down to find the 'Family information' section.

In this section, click on the '+ Invite family members' option to initiate the invitation process.

A modal window will appear. Fill in the family details, including their first name, middle name, last name, and email. If there are multiple family members to invite for this student, you can include them by using the 'Add another family member' option.

Select the language for sending the invite from the drop-down menu and click on the 'Send invite' button.

Here is a sample email invite that is sent to a family member:

Once family member(s) accept the invite on their email, they will be connected to their child’s dashboard on Toddle.

Note: Invites sent to family members have an expiration period of one week. If the status indicates that an invite has expired, you will need to resend it to ensure that the family member receives a current and valid invitation.

3. Invite via downloaded family invites

Via the ‘Print family invites for all students (PDF)’ button

When email isn't the best way to reach families, you can generate a PDF with unique invitation codes.

1. Click the dropdown arrow on the 'Invite family members via email' button and select 'Print family invites for all students (PDF)'.

2. In the pop-up, choose the language and click 'Download'. You will receive an email from Toddle with a link to download the ZIP file containing the family invite PDFs.

Note: The download link remains active for 7 days.

3. The downloaded PDF contains a unique text code and a scannable QR code. Family members can use either of these to easily access their child's Toddle dashboard.

Via the bulk actions bar

Use the Bulk actions menu to print family invite codes for multiple students at once.

  • Select one or more students using the checkboxes, then click ‘Actions’ in the floating bar at the bottom and choose ‘Print family invite (PDF).’

  • In the modal that opens, select the language for the invite.

  • You will receive an email from Toddle with a link to download the ZIP file containing the family invite PDFs.

    Note: The download link remains active for 7 days.

Via the three-dot menu

Use the three-dot menu next to a student to manage family invites for that individual student. And, select 'Print family invite (PDF)'.

In the modal that opens, choose the invite language. Click 'Confirm' to download the family invite PDF for that student. It should download to your local device instantly.
