How do I configure the username display settings for my school?

We’re excited to introduce a new feature that allows schools to customize how usernames are displayed across the platform—on the web, app, and in downloaded reports and transcripts. This flexibility enables schools to align name displays with their preferred naming conventions, enhancing clarity and consistency across all user interactions and documents. Read this article to learn more!

Accessing username settings

As an admin, you can access User name settings under the ‘Settings’ tab in the admin portal.

Here, you can configure how the usernames (for students, staff, and family members) should be displayed on both web and mobile, as well as in reports and transcripts.

Configuring display formats for each section

Within the ‘User name settings’ tab, you can customize user name displays separately in two distinct sections:

  1. Web & Mobile (Platform): Controls how names are displayed on the platform, including the web and app.

  2. Reports & Transcripts: Specifically affects how names appear in printed and downloaded reports and transcripts. Note that changes made here will only affect printed and downloaded documents, not the web or app views.

To modify the username display settings for a specific user type, click on the ‘Edit’ button.

💡Please note that, for schools accessing this feature for the first time, the default name format is set to ‘First Name Last Name’. For schools that already have this feature enabled, the existing settings they have configured will remain unchanged.

Selecting display formats

For each user type, there are 2 ways to configure the display name format:

Option 1: Choose from one of the pre-defined formats listed in the dropdown

Option 2: Create your own custom format (we will learn more about it in the following section)

A preview on the right shows how the selected format will appear for each user role, making it easy to confirm your settings before applying them.

Creating a custom user name display format

If none of the pre-defined formats suit your needs, you can create a custom name order using the option highlighted below.

In the pop-up window, you can customize the display name for the selected user type by choosing the components you want to include. The available name components differ for each user type:

  • Staff: First name, Middle name, Last name

  • Students: First name, Middle name, Last name, Preferred name, Suffix, Pronouns

  • Family Members: First name, Middle name, Last name

To set up the display name format, follow these steps:

  1. To add a new component, type '/' to open the drop-down menu and select the desired option.

  2. Remove a component by clicking the 'X' icon.

  3. Rearrange the components using drag-and-drop.

As you make adjustments, you can preview the format in real-time. Once satisfied, click 'Save.'

💡 Note: ‘First name’ is a required component when defining the display name format for all user types.

Impact across the platform

The configured name format applies consistently within each section, maintaining uniformity where configured.

Example of customization on Web & App

If you set the Web & Mobile display format for the students to: First name Middle initial Last Name, this format will apply only on the web and app interfaces.

Example of customization on Reports & Transcripts

If you configure the Reports & Transcripts display format for students to: First name Middle initial Last Name, this format will apply only to printed and downloaded documents.

Please note that if you configure the username display format differently for the platform (Web & Mobile) and for Reports & Transcripts, each setting will only apply to its respective area. For instance:

  • On Web & Mobile, you might use a format like ‘Last Name First Name’ to enable quick identification.

  • For Reports & Transcripts, you could apply a format such as ‘First Name Last Name’ to maintain a formal presentation in official documents.

Additional fields added for staff and student rostering

When adding a new student or staff member, additional fields are now available to capture Middle name, Preferred name, Suffix, and Pronouns. These fields enable more personalized name displays.

For Students: Middle name, Preferred name, Suffix, and Pronouns
