How can I create a multi-grading period report as a school administrator?

As a school administrator, you can create progress report for your students on Toddle to record and report their progress and achievements over the year. You can create reports for single grading period or multiple grading periods.

With multi-grading period reports, you can track and report student performance across multiple grading periods within a single report card. This flexible feature allows you to gain valuable insights into student progress over time, making it easier to monitor growth and learning. In this article, we'll guide you through how to set up and use multi-grading period reports effectively.

Navigating to the Progress report module

To get started, go to ‘Programme level configurations’ in the admin portal and select ‘Progress reports’ for your preferred curriculum.

Creating a Multi-grading period report template

In the Progress report module, select ‘Progress report templates’ from the menu on the left. Click on ‘Create a new template’ in the top-right corner, and choose the ‘Multi-grading period report’ option. This template allows you to report on multiple grading periods, including independent and/or cumulative grading periods.

In the pop-up modal, enter a name for the template and map the relevant grades you want to include. Once completed, click ‘Create’.

Inside the report template, you can configure the layout and report elements as per your school’s needs. Any sections linked to grading periods, such as subject reports, attendance, etc. will display the multi-grading period view. In the preview window of the template, you’ll see columns for displaying grades and scores across multiple grading periods, along with the option to provide ratings for custom evaluation criteria across these periods.

Once you have set your desired configuration, click on the ‘Save and exit’ button and proceed to create a report set.

Creating a Multi-grading period progress report set

After configuring the template, you can create a progress report set. Navigate to ‘Progress report sets’ from the left pane. Click on ‘Create a progress report set’ and select the ‘Multi-grading period report’ option to proceed.

In the modal that opens, fill in the required details. Unlike a single grading period report, where only one grading period can be selected, you can choose multiple grading periods for the multi-grading period report set. These can be individual or cumulative grading periods, depending on your needs.

💡A cumulative grading period consolidates student performance from multiple grading periods into a single period, providing an overall evaluation across selected grading periods. For example, single grading periods such as Term 1 and Term 2 can be combined into a cumulative grading period, Semester 1, offering a holistic view of student achievement over both grading periods. You can configure how scores from individual grading periods are calculated to determine the cumulative score under Academic setup > Grading setup > Cumulative scores.

Once all details are entered, click the ‘Create’ button.

In a multi-grading period report, teachers can evaluate students’ performance across all the grading periods selected during the report set creation. Let’s see how grades are displayed in the different sections of a multi-grading period report.

Subject reports

In the ‘Subject reports’ section, for each subject, teachers can view or update scores (including the ‘Overall score’ and ‘Local grade’) and provide ratings for custom evaluation criteria and learning goals across all grading periods linked to the report. Scores and grades are pre-filled from the class gradebook for the selected grading periods but can be overridden in the report.

💡 Please note that assessment category scores are not displayed in a multi-grading period report, as these categories can vary across grading periods.

Just like scores and grades, ratings for learning goals are pre-filled from the class’ Learning Goals gradebook for the selected grading periods. However, teachers can add new ratings directly in the progress report. For each evaluation criterion and learning goal, teachers can also view student’s grading history. For example, if the report includes Term 1, Term 2, and a cumulative grading period, Semester 1 (T1 + T2):

  • In Term 1, only Term 1 ratings will appear in the grading history.

  • In Term 2, ratings from both Term 1 and Term 2 will be shown.

  • In Semester 1, the grading history will show ratings for both Term 1 and Term 2.

The screenshot below shows how the evaluation of learning goals appears in a multi-grading period report when multiple custom evaluation criteria are used for rating. For example, in the screenshot below, the two evaluation criteria used are ‘Achievement’ and ‘Knowledge’ and the ratings on those are shown for each grading period linked in the report set.

Remember that the configuration of custom evaluation criteria/learning goals in progress reports is grading period-agnostic. This means that any criteria/learning goals you enable will be available for ratings across all grading periods. If you prefer not to rate a specific criterion/learning goal for a grading period, leave it unrated. In the downloaded report, the field will appear blank, indicating no rating was provided.

Progress summary

The Progress summary page provides a compact view of grades achieved by students in all subjects across the grading periods linked to the progress report set.

💡 Please note that based on the template configuration decided by the admin this page may also include ‘Homeroom adviser comments’ and ‘Attendance’ sections. And, for MYP and DP curricula, the Progress summary can also include grades and comments from MYP projects and DP core components.

If the ‘score aggregation’ setting is enabled for your multi-grading period report template, an aggregate of the overall score and/or grade across subjects will be displayed for the selected grading periods. The score aggregate can appear as a sum, average, or both, depending on the configuration set for each grading period in Academic setup > Grading setup > Score aggregation for your curriculum.

💡Please note that the aggregate score will only include subjects configured within the academic setup for the selected grading periods. The screenshot below uses the IB PYP curriculum as an example, displaying only the aggregation for the overall score. Depending on your curriculum, you may also have the option to display an aggregate for the overall grade.

Progress summary for approaches to learning (only applicable to IB PYP)

In the ‘Progress summary for approaches to learning’ section, you will see pre-filled ratings from the class gradebook for the configured ATL skills across linked grading periods. Teachers also have the option to modify or add these ratings directly in the report and include an overall comment.

💡Please note that the configuration of these ATL skills is grading period-agnostic. Any skill you enable for evaluation will be available for ratings across all grading periods. If you prefer not to rate on a specific skill for a particular grading period, simply leave it unrated. In this case, the downloaded version of the report will show the field as blank, indicating that no rating was provided for that ALT skill.

Attendance

In the ‘Attendance’ section, you can view students' attendance data for the grading periods linked to the report. Attendance can be displayed either per grading period or across grading periods, depending on the configuration set in the multi-grading period report template. For instance, the screenshot below shows attendance data displayed per grading period. If the settings are configured for ‘across grading periods,’ you will see a combined attendance summary for the various attendance categories enabled in the report template.

In the MYP and DP curriculum, admins can choose how attendance data is displayed. They have the option to show a combined attendance for all subjects, display subject-wise attendance separately, or enable both options. In the screenshot below, the first table presents the combined attendance data for all subjects across the selected grading periods, while the second table displays subject-wise attendance data cumulatively for all the selected grading periods.

💡Please note that subject-wise attendance data is shown cumulatively for all selected grading periods and cannot be displayed per grading period.

MYP projects and DP/CP core components (only applicable to IB MYP and IB DP/CP)

Performance on MYP Projects and DP/CP core components is not linked to specific grading periods. Instead, these components are evaluated as a whole, even in a multi-grading period report set. As a result, individual ratings for each grading period are not available for these components.
