We’ve introduced several enhancements to the transcript module, giving schools greater flexibility to generate transcripts tailored to their specific needs. You can now display student pictures in the transcript, add watermarks, edit the programme name and table headers and sync transcript data directly from the Gradebook. Let’s explore these features one by one!
This article will cover:
Display student photo
Add watermark
Edit programme name and table headers
Sync transcript data from Gradebook
Display student photo
You can now include student photo at the top of each transcript to add a personal touch and help with student identification, especially for official or external use.
To enable this:
1. Go to the Transcript module and open the transcript template.
2. In the Layout configuration panel, click on Student details.
3. Inside the Student details section, you’ll see a new option called ‘Student image’ at the top.
4. Use the checkbox next to it to show or hide the photo.
Once enabled, the photo is displayed for both portrait and landscape layouts. It also appears in the printed version of the transcript, ensuring consistency across formats.
💡The image is automatically fetched from the student’s profile in the roster and cannot be uploaded directly through the transcript module. If no image is added to the profile, the photo placeholder will not appear in the transcript.
Add watermark
You can now add a text or image watermark to transcripts. This can include school names, logos, or other relevant labels such as ‘Provisional’ or ‘Confidential.’
Here’s how it works:
1. Go to the Page setup section in your transcript template.
2. Enable watermark and choose between Text or Image watermark.
For text, enter your desired watermark content, choose the orientation (diagonal or horizontal), and adjust the scale and opacity to suit your template.
If you prefer to use an image, you can upload a school logo or any other image. You can then adjust the image scale and opacity in the same way.
As you configure the watermark, a real-time preview will appear on the right side of the screen so you can see how it will look on the transcript.
Once added, the watermark appears on both the platform and printed transcripts.
On the platform, it is disabled by default, but you can toggle it on using the ‘Show watermark’ switch while viewing a student transcript.
It will always appear in the printout if enabled in the template, even if the toggle is off on-screen.
Edit programme name and table headers
You can now edit the default curriculum programme label and table headers in transcripts to match your school’s preference.
Here’s how you can do it:
1. Open the transcript template and go to the ‘Programme settings’ section and select a curriculum.
2. In the ‘Additional settings’ section within a curriculum, locate the Table header settings.
3. Click into the programme title to edit it. You can customize this label based on your programme name, for example, " Diploma Programme".
4. You can also check or uncheck the visibility of the programme title, grade level, and academic year fields using the checkboxes next to each. This lets you control which of these table header fields appear in the final transcript.
A real-time preview will appear on the right side of the screen so you can immediately see how your changes will reflect on the transcript layout.
Once you save your changes, these updates will automatically reflect across all student transcripts and printouts.
Sync transcript data from the Gradebook
We’ve introduced a new Gradebook sync option to simplify how student performance data is populated in transcripts, alongside the existing options of importing from a report set or uploading an XLSX file.
Let’s walk through the steps:
1. Navigate to the Transcripts section, select the year group, and click ‘Edit transcript data’.
2. For each reporting period (e.g., Term 1), click the dropdown and select ‘Sync with gradebook’. Then click Sync now to initiate the sync.
3. If some grades or scores are missing in the Gradebook, you’ll be prompted to choose one of the following:
Proceed importing from Gradebook with missing data – brings in available data and allows manual edits later.
Fill missing data and upload XLSX – download a template with existing data, fill in the gaps, and re-upload.
After the import, you’ll see a summary of how many records were processed and whether any values were missing. Click ‘Done’ to confirm.
At any point, you can:
Unlink the synced data to remove it
Re-sync to pull the latest values from the Gradebook
Download the synced data as an XLSX file
💡Unlinking removes synced data from the selected term but does not affect transcripts already generated.
Once you click Sync now, the system pulls in the available subject-level overall scores and grades from the Gradebook. Here's how the data appears in the Gradebook:
This is how the synced data automatically reflects in the student’s transcript:
That's all for now. We will continue to innovate and improve to make your Toddle experience better each day!
