How can I gain insights into my school's usage of Toddle modules as an administrator?

As a school administrator, you can efficiently access and monitor the usage of Toddle modules by staff, students, and families within your school. Gain valuable curriculum-wide and school-wide insights, with the flexibility to select specific time periods for targeted data analysis. Read this article to learn more.

Navigating to usage insights

Access the 'Insights' module from your preferred curriculum homepage.

💡This article uses an example of usage insights in the IBPYP curriculum; however, it functions similarly across all curricula.

Upon entering, you will find the ‘Usage insights’ section covering the Planning, Assignments, Portfolios, and Messaging modules. To view tailored insights, you can filter the data for each module by selecting one or more curriculum(s) and preferred duration, as highlighted below.

Let’s explore the insights available for each module.

Usage insights for Planning

In the ‘Planning’ section, you can monitor how extensively teachers are using Toddle’s unit planning module to create and manage unit plans. It provides a summary of the total number of unit plans created, along with a breakdown of the different types of units.

For instance, for IBPYP you can view the transdisciplinary and subject-specific units planned, as shown below. However, if you choose to view Planning usage insights across all curriculums, only the total unit plans will be displayed, as unit types vary between curricula.

If you select a time duration of the last seven days, thirty days, or six months, the usage data will also include a comparison with the previous corresponding period, as highlighted below.

Below the overview, you will find a detailed table offering a breakdown of total unit plans as well as the types of units created, organized by grade, class, or staff member. You can customize your view using the following features:

  • ‘View by’ filter: Toggle between grade, class, or staff views to filter the data accordingly.

  • Search bar: Search for specific grades, classes, or staff members, based on the selected ‘View by’ filter.

  • ‘Export’ Icon: Download the table data as a spreadsheet based on the selected ‘View by’ filter.

  • ‘Configure columns’ icon: Choose which columns to display in the table for a more tailored view.

These features function similarly in the Assignments, Portfolio, and Messaging usage insights.

Usage insights for Assignments

In the ‘Assignments’ section, you can monitor how actively teachers and students are engaging with assignments on Toddle, from creation to submission. It provides key metrics, including the total number of assignments assigned on Toddle, the percentage of pending, overdue, unsubmitted, late submissions, and assignments turned in on time.

Below this overview, you will find a detailed table offering a breakdown of assignment data, organized by grade, class, staff, or students. Accordingly, you can view the total assignments assigned alongside the corresponding percentages/numbers for pending, overdue, unsubmitted, late submissions, and timely submissions.

You can customize your table view using the ‘View by’ filter and the search bar to locate specific grades, classes, staff, or students, based on the selected filter. Additionally, you can download the table data using the ‘Export’ icon and customize the columns with the ‘Configure columns’ icon.

Usage insights for Portfolio

In the ‘Portfolio’ section, you can gain insights into how teachers and students are using portfolios to document and engage with learning. It provides key metrics, including the total number of posts published, a breakdown of posts by teachers and students, total likes, and total comments.

Below the overview, you will find a detailed table offering a breakdown of portfolio data, organized by grade, class, staff, or students. Accordingly, you can view the number of posts created, published, scheduled, in draft, liked, and commented on.

You can customize your table view using the ‘View by’ filter and the search bar to locate specific grades, classes, staff, or students, based on the selected filter. Additionally, you can download the table data using the ‘Export’ icon and customize the columns with the ‘Configure columns’ icon.

Usage insights for Messaging

In the ‘Messaging’ section, you can monitor how teachers, students, and families are engaging with the messaging feature on Toddle. Note that this section mirrors the curriculum-wise analytics available within the Messaging module.

It provides key metrics, including the total number of messages sent, broken down by staff members, students, and family members.

Below the overview, you can view where these conversations are taking place, distinguishing between chats and channels. Chats are further categorized into teacher-student, teacher-family, and teacher-teacher interactions, while channels include class, family, and custom channels.

As you scroll down, you will find a graph illustrating the volume of messages exchanged over time, based on the type of users or type of conversations. This provides a clear understanding of engagement trends across different user groups.

At the bottom, you will find a table offering messaging activities by individual users, organized by students, staff members, or family members. Accordingly, you can view the number of messages sent and any flagged messages.

You can customize your table view using the ‘View by’ filter and the search bar to locate specific students, staff, or family members. Additionally, you can download the table data using the ‘Export’ icon according to the selected ‘View by’ filter and customize the columns with the ‘Configure columns’ icon.

With these insights, administrators can seamlessly track and enhance engagement across the Planning, Assignments, Portfolios, and Messaging modules on Toddle.
