As a school administrator, you can seamlessly manage your school’s SAA programme for MYP students on Toddle. This involves inviting advisers, supervisors, and students to access the SAA module, configuring reflection questions, downloading SAA portfolios, monitoring the overall progress of all students in completing their SAA requirements, and providing them with constructive feedback.

Configuring settings for SAA
You can configure various SAA settings to suit your school’s needs. Let’s understand these in detail.
Configuring SAA module for year groups
As an administrator, you can enable/disable Service as action for selected year groups by navigating to the 'Settings' card in your MYP curriculum section within programme level configurations.
Next, navigate to the ‘Projects’ section in the left panel and click ‘Edit’ to toggle the Service as action switch on or off for each year group as required.
Customizing overall progress indicators
As an administrator, you can configure overall progress indicators for SAA within the ‘Academic setup’. Simply navigate to the ‘Overall progress indicators’ tab, and click the ‘Edit’ button to modify existing indicators or create new ones.
In the pop-up window, you can:
Add new indicators: Easily create additional indicators by clicking the ‘Add Indicator’ option.
Rearrange the order: Drag and drop to reorder the indicators based on your preference. This will impact the order in which indicators are seen at the teacher’s end.
Edit existing indicators: Modify the name of any existing indicator. Please note that the revised name will automatically reflect on the student’s SAA.
Delete indicators: Remove indicators that are no longer needed. When deleting an indicator, be mindful that all portfolios marked with that indicator will revert to the default indicator.
💡Any changes you make to the overall progress indicators will apply to both the current and past academic years.
Once done, coordinators, advisers, and supervisors can use the revised overall progress indicators to track and assess their students' progress, such as from within the ’Portfolios’ section.
Visibility of SAA to family members
Access the 'Settings' tab in the school-wide configurations and navigate to 'Module settings’. Utilize the checkmark option to switch on or off the family visibility of the MYP project modules as needed. By default, this setting is turned on.
💡Please note that when enabled, families will have a read-only view of their child’s SAA only on the web platform, not in the app.
SAA rollover settings during academic year transition
Each MYP student’s SAA portfolio continues across all five years. As an administrator, you can decide whether to reset the overall status, overall progress, and learning outcome (LO) status at the start of a new academic year for students. This setting is available in the Academic Year Transition(AYT) dashboard.
Setting up the SAA module
Click on the ‘Service as action’ card from your MYP curriculum homepage.
Next, select the year group (years 1-5) for which you want to configure the SAA setup.
On the left side of the landing page, choose the ‘Setup’ tab. Here, you can add reflection questions for students, configure settings related to the approach of student reflections and activity duration tracking, as well as invite teachers as SAA advisers, and allocate students to them. Furthermore, you can invite teachers as SAA supervisors who will oversee the different activities of the students.
Let’s understand these steps in detail in the following sections.
Reflection questions
As students participate in their SAA activities, reflection becomes a crucial component of their activities. As an administrator, you have the flexibility to add the reflection questions that students will answer.
To add a new question, click the ‘Add question’ button and type it in the provided space. You also have the option to edit the existing questions at any time. If you would like to remove a specific question or change its order, simply hover over it, and you will see the option to delete it or drag it up/down.
💡Deleting reflection questions is irreversible, therefore any student responses associated with them will be permanently lost.
Other settings
Configure reflections of students within a service activity
For collaborative service activities, you can decide whether student reflections should be written individually or as a group. Enable the respective option as per your preference, as shown below.
💡By default, this setting is configured to ‘as a group’. Keep in mind that this setting will not be applicable when students are doing an activity individually.
Based on your selection, for collaborative activities, students will be able to add either individual reflections or as a group from their activity page, as shown below.
Please be aware of the following considerations if you plan to change these settings during the year:
Switching from 'group' to ‘individual’: If students have already submitted group reflections, you have the option to copy them for each student in the group or delete them entirely.
Switching from 'individual' to ‘group’: This will permanently delete individual reflections added by the students.
Configure time based tracking
As an administrator, you can enable students to record the total SAA hours per activity, as well as log their engagement across individual service action types within an activity. These settings will immediately impact all students in the selected MYP batch and are turned off by default.
Additionally, you can set the expected total SAA hours as well as individual service action durations according to your school’s guidelines. By default, these are set to the IB-recommended hours. These settings help you identify students falling short of the required hours when viewing insights.
Note that previously logged hours remain stored even if the setting is disabled and will reappear when re-enabled.
Once the options are enabled, students will have the capability to log the overall duration of their service activity as well as the specific hours spent on each service approach.
This can be filled in by the student(s) or the designated supervisor from within the activity page, as highlighted below. For group activities, hours are recorded collectively at the activity level.
Inviting students
For students to access the SAA module on their portal, you need to invite them. This can be done using the ‘Invite students’ card on the Setup page under step three.
Under the ‘Students’ tab, you will see a list of students invited to SAA, if any. To add new students, click on the ‘Invite’ button.
On the next page, you will find a list of all students in the selected batch. You can select them individually or add them in bulk using the corresponding options.
Once you click on 'Invite', all selected students will have the ‘Service as Action (SAA)’ card added to their homepage on Toddle, allowing them to begin working on their SAA portfolios. If you have inadvertently added a student, promptly rectify it using the 'Remove' option.
Inviting advisers and supervisors
To invite teachers advising or supervising SAA, select the ’Advisers and supervisors’ section from the left pane. Any previously invited teachers will appear here. To add new teachers, click on the ‘Invite’ button.
On the next page, you will find a list of all staff members in your school across different curriculums, in case you have multiple curriculums on Toddle. You can select them individually or add them in bulk for each curriculum, or for all curriculums at once. Each teacher's curriculum affiliation is shown below their name for easy identification.
Once you click on 'Done', all selected staff members will have the ‘Service as Action, (SAA)’ card added to their homepage on Toddle, enabling them to start advising/supervising their assigned students for SAA. To remove one or more teachers, use the ‘Remove’ option against their name.
Approving SAA supervisor request
If students have requested to add an MYP teacher as their supervisor who has not been invited to SAA yet, you will receive an approval request for the same. The supervisor's name will also appear with an 'Approval pending' status, as highlighted below. You can take either of the following actions:
Approve or reject the individual request using the three-dot menu next to their name.
Review all pending requests at once using the 'Pending approvals' button located at the top of the page.
On the ‘Pending approvals’ page, you can approve/reject the requests individually or in bulk using the provided options. Once you have approved the request, the supervisors will gain access to the student's SAA activities on their portal and can begin their review.
Once added, advisers and supervisors can seamlessly track student progress, review activities, and provide feedback - all within Toddle. To explore specific features and workflows for their respective roles, refer to the articles on using Toddle as a SAA adviser and SAA supervisor.
Mapping students to advisers
Once you have added students, advisers, and supervisors to the SAA module, you can assign SAA advisers to your students. There are two methods available for mapping:
Option 1: Through the ‘Students’ tab
Under the ‘Students’ tab, use the dropdown menu to assign an adviser to each student. The dropdown will list all internal advisers and supervisors who have been added to the SAA module.
Alternatively, you can assign them in bulk by selecting multiple students and assigning them a common adviser using the option at the top.
Option 2: Through the ‘Advisers and supervisors’ tab
To map students and advisers from the 'Advisers and supervisors' tab, click on the 'Assign students' button next to the adviser's name, then select the desired student from the list.
From the pop-up window, select the students who would like the map the adviser to. Once done, advisers will be able to access and review the SAA portfolio of students assigned to them from their portal.
You have the option to remove an adviser or change the assigned student(s) at any time by using the three-dots menu located under the 'Actions' column.
Editing activities being supervised
You can view and remove activities being supervised from the ‘Advisers and supervisors’ page.
To view the activities teachers are supervising, you can either directly click on the number under the ‘Activities supervising’ column or click on the ‘Edit activities supervising’ option from the three-dots menu against their name.
From the pop-up window, you can review all the activities that the teacher is supervising. If required, you can remove the activities from the list using the ‘-’ icon next to it.
Once satisfied, click ‘Done’ to save the changes.
SAA dashboard
A student’s SAA activities across all MYP years are combined into a single, continuous portfolio on Toddle, providing a complete record of their journey.
As a coordinator, you can easily track a student’s engagement over time using the academic year switcher in the SAA dashboard. This switcher, available in the Portfolios, Activities, and Insights tabs, lets you view activities from a specific academic year or see a complete overview of all years by selecting ‘All academic years’ from the dropdown. This makes it easy to monitor progress, identify trends, and ensure a holistic understanding of each student’s SAA journey.
Viewing SAA portfolios
The ‘Portfolios' tab provides a comprehensive overview of the SAA progress for all students in the selected MYP batch. It includes the number of SAA activities added, learning outcomes achieved, overall progress, and the last modified date and time for each student’s portfolio.
You can customize your dashboard by selecting and arranging the columns according to your preference using the ‘Configure columns’ icon.
Furthermore, the academic year switcher lets you filter the portfolio view to display activities from a particular year or see a complete record of a student’s SAA journey across all MYP years in one go.
The dashboard offers the following filter options to help you search for relevant SAA portfolios:
Adviser: To view SAA portfolios of students assigned to specific advisers.
Status: To filter SAA portfolios based on their status.
Overall progress: To filter SAA portfolios based on their overall progress. As an administrator, you can create and manage these overall progress indicators within the ‘Academic setup’.
Last modified: To view SAA portfolios based on the date and time of their last edits.
Bulk actions
As an SAA coordinator, you can efficiently manage students’ SAA portfolio status as well as their overall progress. To do so, select the students you want to update the status for and select the preferred option from the ‘Bulk action’ menu.
Downloading SAA portfolios
You have the option to download SAA portfolios for one or more students. To do a bulk download, click on the download arrow on the dashboard as shown below, and select which students’ portfolios you wish to download.
Once done, click ‘Next’ to move on to the next step.
Next, select the academic year(s) for which you would like to download SAA portfolios. You can choose specific years or download all academic years combined into a single portfolio.
After making a selection, proceed by clicking the ‘Download’ button.
Alternatively, you can choose to download the portfolio for a single student by clicking on the three dots next to their name.
Similar to the bulk download process, select the academic year(s) for which you would like to download their SAA portfolios. Once done, click ‘Next’.
Next, select which activities to include in the PDF and click on download.
The portfolio will then be downloaded in the form of a PDF, as shown in the example below.
Student portfolios
To get more information about a particular student's SAA portfolio, click on their name on the ‘Portfolios’ dashboard. The landing page contains comprehensive details of the student's activities, SAA status, overall progress, and detailed insights.
You can take the following actions from here:
Add/edit/delete SAA activities
Use the academic year switcher to view activities from a particular year or see a complete record across all MYP years in one go.
Update the portfolio status and overall progress.
Download the student’s SAA portfolio as a PDF
Switch between list view and timeline view to view students' SAA activities
Once you scroll down, you can explore visual insights into student’s SAA performance through interactive graphs. You can view:
Total number of SAA activities with a status breakdown
Total hours spent on SAA activities
Learning outcomes progress with a list of activities and evidence linked to each outcome
Hourly progress across service action types
💡The insights on total hours and hourly progress will show up only if you have enabled the settings for it. Click on any of the color-coded bars or numbers to view the corresponding list of activities.
Additionally, you or the advisers can mark the individual learning outcomes as achieved using the icons on the left, as highlighted below.
To review the evidence associated with a specific outcome, click on the numbers under the ‘Evidences’ column.
This page provides an overview of the progress made by the student towards achieving the seven learning outcomes (LO) set by the IB. Under each LO, you can see the evidence associated with that specific outcome.
You or the advisers can mark an LO as achieved by clicking on the ‘Mark LO as achieved’ button located at the top right. The corresponding student will receive a notification for the same. Furthermore, use the chat option to provide feedback on the evidence and reflections and engage in one-on-one discussions with your students.
Students can also access this section and view the status of their learning outcome achievements through their portal.
Viewing SAA activities
The 'Activities' tab provides a comprehensive list of all the activities undertaken by MYP students in the selected batch. This tab enables you to quickly review key information such as the supervisor's name, service action types, learning outcomes tagged, and duration for each activity.
Use the academic year switcher to navigate between activities from previous academic years or view them for all academic years collectively. To view details or provide feedback on specific SAA activities, click on its name.
To simplify this view, you can use the ‘configure’ icon. Additionally, utilize the filter options to search for specific activities by class(es), supervisor(s), student(s), status, last modified timeframe, and active/archived view.
Bulk actions
As an SAA coordinator, you can efficiently manage students’ SAA activity status and archive/delete activities in bulk. To do so, select one or more activities and click on the preferred option from the ‘Bulk action’ menu. Alternatively, you can choose to individually archive or delete activities using the three-dot menu under the ‘Actions’ column.
Note that ‘Archived’ activities do not count towards portfolio insights. Moreover, deleted activities can be restored from the Bin, as highlighted below.
Viewing SAA insights
Through the ‘Insights’ tab, you can view the consolidated SAA progress of all students in the selected batch. These are organized into three tabs:
Overview
Progress on learning outcomes
Progress on individual service action
Use the academic year switcher to view insights based on specific academic years or view them for all academic years collectively.
💡The insights on total hours and hourly progress will show up only if you have enabled the settings for logging SAA hours.
Overview
This tab lists the total number of activities with a status breakdown for each student, along with their hourly engagement and total time spent on SAA activities.
Click on any of the color-coded bars or numbers to view the list of activities.
Progress on learning outcomes
This tab displays students' progress on the seven SAA learning outcomes, listing the number of tagged SAA activities and their current status, along with the evidence collected for each.

Progress on individual service action
This tab displays the number of hours each student has spent across individual service actions, along with the number of activities tagged to each type.

SAA reporting in progress reports
Schools can report on a student's SAA progress through the progress report. As an administrator, you can include a section for it under ‘MYP projects’ in the progress report template.
In this section, you will find the following details:
Description: Advisers or supervisors can use this section to directly provide an overview of the student’s SAA activities.
Activities: This section displays the student’s SAA activities, including the activity title, status, duration, and service approach type. This data is pulled from the SAA module and cannot be edited in the report itself.
Service learning outcomes: This section displays the seven learning outcomes defined by the IB, along with the number of activities where it was addressed. This information is pulled directly from the SAA module in Toddle and cannot be edited by advisers or supervisors within the progress report.
Supervisor’s comment: This section allows the adviser or supervisor to add an overall comment about the student’s involvement in various SAA activities during the relevant reporting period. The option to add a comment is only available in the report and does not appear in the SAA module itself.
With this module, you, as an SAA coordinator, can effectively oversee student progress and ensure the successful completion of IB requirements.
