How can I gain insights into my school's attendance as an administrator?

The Attendance Insights dashboard offers a powerful reporting tool for school administrators to monitor and analyze student attendance across the school. It provides an overview of student attendance across the school, helping you identify patterns, monitor student engagement, and make data-driven decisions. From curriculum-wide trends to individual student records, these insights enable you to explore attendance data at varying levels of detail and take timely action where needed. Let’s explore this further.

Navigating to Insights

Access the ‘Insights’ module from your preferred curriculum homepage.

💡This article uses an example of attendance insights in the IBPYP curriculum; however, it functions similarly across all curricula.

Upon entering, navigate to the ‘Attendance insights’ section, organized into 4 tabs:

  • Overview

  • By grade

  • By class

  • By students

To view tailored insights, use the filters at the top of each tab to select your preferred duration and one or more curricula, as highlighted below. Let’s explore each of these tabs in detail.

💡 The attendance categories, codes, and marking method (daily, period-wise, or both) configured from the attendance settings directly impact the data and views shown in Attendance Insights. Any major variations will be highlighted throughout the article for clarity.

Attendance overview

This section provides a summary of attendance data across the selected curriculum(s) and duration.

The overview metrics at the top include:

  • Total students: Total number of students enrolled in the selected curriculum(s).

  • Avg. attendance rate (%): Average presence percentage over the selected duration.

  • Avg. attendance rate (%) - Year to date: Cumulative presence percentage from the beginning of the academic year to the current date.

    • This metric is independent of the selected duration.

  • Chronically absent students: Number of students with a presence percentage below 90% in the selected duration.

  • Total excusals: Number of active excusals (submitted by administrators or families) that were marked within the selected duration.

💡 The green or red percentages next to some of these points reflect the increase/decrease compared to the previous equivalent duration. These definitions apply consistently across all views within the Attendance insights.

As you scroll down, you will find two charts providing visual context on how attendance has varied over time and across weekdays:

Daily attendance pattern chart: This line chart tracks the average attendance percentages of all students combined in the selected curriculum(s) for the chosen duration. Each line point represents the students’ records on a particular date. For example, hovering over 25 March 2025 reveals an average attendance of 81.5%. Spikes or dips in this chart can highlight specific days with notably high or low attendance, allowing you to take action accordingly.

Weekly attendance pattern chart: This bar chart shows the average attendance percentage across each weekday - Monday through Friday - for the selected duration. For example, if Tuesday consistently shows a lower average presence than other days, as shown below (93.83%), you may wish to explore scheduling adjustments or targeted interventions.

💡You can hover over any data point in the charts to view its exact value. This functionality is available across all the Attendance insight charts to help you interpret trends more precisely, as demonstrated in the examples above.

As you scroll further down, you will find a chart comparing average attendance rates across grades for the selected duration. This helps you quickly spot which grades have lower attendance and may need follow-up. It provides two toggle views - ‘Overall presence’ and ‘Category-wise’.

Overall presence view: This is the default view and shows the average attendance percentages for students across grades.

Category-wise view: Switch to this view for a breakdown of attendance by category - such as Present, Excused, and Unexcused - for each grade. Hovering over any of the bars reveals the category-wise percentage breakdown within that grade.

💡Attendance categories are configured at the school level and remain consistent across all curricula. Therefore, you will see the same set of categories reflected in each curriculum’s attendance insights.

As you scroll down, you will find a detailed table listing all students who were marked absent during the selected duration. The core structure of the table remains consistent across all views, displaying key identifiers such as each student’s name, UID, programme, and grade, along with their overall presence percentage for both the selected duration and the academic year. However, the column(s) showing absence data will vary depending on the attendance marking method configured for your curriculum.

Based on the configured attendance setup, the following column(s) will appear:

Daily attendance: Displays a column for the number of days each student was marked absent.

Period-wise attendance: Displays a column for the number of class periods each student was marked absent.

Daily and period-wise attendance: Displays both the number of days and periods each student was absent.

💡You will notice similar adjustments in table views across other attendance insights sections, based on your selected attendance setup.

Additionally, if you select all programmes, and the selected programmes follow different attendance setups (e.g., UbD uses daily, MYP uses both, etc), you can identify which setup applies to which curriculum by checking for ‘Na’ values in the absence columns. The ‘Na’ value will appear in the column that does not apply to the programme’s configured attendance method. Furthermore, if a curriculum has both daily and period-wise attendance enabled, data will appear in both columns for the relevant students.

Additionally, you can customize your table view using the following features:

  • Search bar: Locate a student by typing their name or UID, making navigation faster within large datasets.

  • Configure columns icon: Customize which columns are visible in the table, so you can tailor the view to your review needs.

  • Sorting icon: Sort data within individual columns in ascending or descending order using the arrow icons next to each column header.

Additionally, you can choose to download the filtered attendance data for offline records:

  • Export icon: Download the complete attendance dataset as a spreadsheet, based on your selected duration.

    • If you wish to export data for a custom date range, simply apply the desired duration filter and export it.

To dive deeper into the attendance of an individual student, simply click on their name. Refer to the Attendance by student section to explore this further.

💡The table features mentioned above function similarly across other table views. Additionally, in most table views, the first column is clickable, allowing you to access deeper insights.

As you scroll down, the final table displays detailed student-wise attendance records for the selected duration. It includes each student’s key identifiers, their overall presence percentage for both the selected duration and the current academic year, and a category-wise breakdown of their attendance percentages.

Attendance by grade

This section helps you track and compare attendance trends across different grades for the selected curriculum and duration. It includes charts with both overall and category-wise views, and detailed tables showing attendance rates, absences, and excusals by grade. These insights help you pinpoint which grades may be experiencing lower attendance and explore possible causes.

At the top, you will find a chart displaying a grade-wise overview of attendance for the selected duration, as previously shown in the ‘Overview’ section. You can toggle between two views: the overall presence percentage and a detailed category-wise breakdown.

The table below provides a detailed breakdown of attendance metrics by grade for the selected duration. It includes the total number of students, overall presence percentages for both the selected duration and the academic year to date, the number of students marked absent, the number of excusals raised, and a percentage-wise breakdown of attendance across categories for each grade.

Upon entering, you will get a detailed breakdown of attendance performance for the selected grade. The top of the page displays a summary of key attendance metrics for the grade.

At the top, you will find the key attendance indicators for the selected grade. These include the total number of students, the average attendance rate for both the selected duration and the academic year to date, the number of chronically absent students, and the total number of marked excusals.

As you scroll down, you will find two charts providing visual context on how attendance has varied over time and across weekdays for the selected grade and duration:

Daily attendance trend chart: This line chart shows the average attendance rate across the selected duration for a grade. Hovering over any point on the graph reveals the exact attendance percentage for that date, helping you identify attendance fluctuation.

Weekly attendance pattern chart: This bar chart breaks down the average attendance rate by weekday - Monday through Friday - for the selected duration. It helps surface important patterns, such as lower attendance on specific days.

As you scroll down further, you will find additional charts helping you understand attendance distribution by categories and identify trends across specific class periods:

Category-wise distribution chart: The donut chart offers a summary of how attendance is distributed across categories, such as Present, Excused, and Tardy, for the selected grade and duration. It visually highlights the proportion of each attendance category. Hovering over any segment of the chart reveals the exact percentage for that attendance category.

Period-wise attendance pattern chart: The adjacent bar chart displays the average attendance percentage for each class period within the selected grade and time frame. It defaults to the ‘Overall presence’ view, which shows period-wise average attendance rates. You can switch to the ‘Category-wise’ view to explore how attendance categories differ across periods.

💡The period-wise attendance chart applies only to curricula that have period-wise or combined daily and period-wise attendance enabled.

As you scroll down further, you will find a table listing all students who were marked absent, including the number of days and/or periods missed (based on the selected attendance setup), and their overall presence for the selected duration and current academic year.

As you scroll down further, the final table provides a comprehensive attendance summary for each student in the selected grade. It includes their key identifiers along with their homeroom advisor, overall presence percentage for the current and selected duration, and a breakdown of the category-wise attendance percentages.

Attendance by class

This section focuses on class-specific attendance patterns, offering a breakdown of attendance data within each class of the selected grade. It includes class-wise performance metrics, visual trend charts, and student-wise summaries. These insights are especially useful for identifying classes that may require targeted support or intervention, based on chronic absenteeism or low presence percentages.

You can filter out your preferred classes using the ‘Grades’ and ‘Subjects’ dropdowns, as highlighted below.

💡This section does not support curricula with daily attendance setup, as it specifically requires class/period-based data to display insights. Therefore, if you access this section, a message will indicate that class data is not available for your selected curriculum.

At the top, you will see a bar chart displaying the average attendance rate for each class during the selected time duration. You can toggle between two views: the overall presence percentage and a detailed category-wise breakdown. It defaults to the ‘Overall presence’ view, which shows class-wise average attendance rates. You can switch to the ‘Category-wise’ view to explore how attendance categories differ across classes.

Below, a detailed table provides class-wise attendance metrics. It includes the class names, associated programme and grade, total number of students, overall presence percentage (both for the selected duration and the academic year), number of chronic absentees, and a breakdown of attendance percentages across all categories.

Since this section includes additional filters for grades and subjects - alongside the standard duration and programme filters - you can apply your preferred filters to export the exact dataset you need.

Upon entering, this section offers a class-level breakdown of attendance data within a selected grade and duration.

At the top, you will find the key attendance indicators for the selected class. These include the total number of enrolled students, average attendance rate for both the selected duration and the academic year to date, and the number of chronically absent students.

As you scroll down further, you will find additional charts helping you understand daily trends and attendance distribution by category across your class:

Class attendance trend chart: This line chart shows the average attendance rate across the selected duration for a class. Hovering over any point on the graph reveals the exact attendance percentage for that date.

Category-wise class attendance trend chart: Adjacent to the line chart, the donut chart offers a summary of how attendance is distributed across categories for the selected class and duration. Hovering over any segment reveals the exact percentage for that attendance category.

As you scroll down further, you will find a table listing students who were absent at least once during the selected duration. It includes columns for the student UID, grade, number of days/periods absent, and overall presence percentages - both for the selected duration and the current academic year.

As you scroll down further, a detailed table view of each student’s attendance performance is provided. This includes key identifiers along with their homeroom advisor, overall presence percentage for the selected duration and current academic year, and a category-wise split of attendance percentages.

Attendance by student

This section offers a detailed, student-level view of attendance data for the selected curriculum and duration. It includes presence rates over time, absence counts, excusal requests, and performance across different classes and periods. These insights enable you to track individual student attendance patterns, investigate irregularities, and follow up appropriately.

You can filter out your preferred students using the ‘Grades’, ‘Classes’, and ‘Homeroom advisor’ dropdowns, as highlighted below.

Here, you will find a student-wise table displaying key identifiers along with their homeroom advisor, the overall presence percentage for the selected duration and the current academic year, the total number of absences and excusals raised, and category-wise split of attendance percentages.

Since this section includes additional filters for grades, classes, and homeroom advisors - alongside the standard duration and programme filters - you can apply your preferred filters to export the exact dataset you need.

At the top of the page, you will find a summary of key attendance indicators specific to the selected student. These include the student's average attendance rate for the current academic year and the selected duration, total periods marked absent, and total marked excusals.

As you scroll down, you will find two additional charts that offer insights into the students’ attendance trends over time and a breakdown by attendance categories:

Student-wise attendance trend chart: The line chart shows the students’ attendance percentage over the selected academic year. Hovering over any point on the graph reveals the exact attendance percentage for that date.

Category-wise attendance trend chart: Adjacent to the line chart, the donut chart illustrates how the students' attendance is distributed across the selected attendance categories. Hovering over any segment reveals the exact percentage for that attendance category.

As you scroll down further, you will find additional charts that highlight the students’ attendance patterns across their enrolled classes and periods:

Attendance by class chart: The bar chart displays the students’ average attendance rate across the different classes they are enrolled in. It defaults to the ‘Overall presence’ view and provides a quick comparison of their attendance behavior by class. You can toggle to the ‘Category-wise’ view to explore how the attendance categories marked for the student are distributed across classes.

Attendance by period chart: The chart outlines the student’s attendance performance across different periods of the day. The ‘Overall presence’ view highlights their overall presence percentage across the class periods. You can switch to the ‘Category-wise’ view to explore how the attendance categories marked for the student differ across periods.

💡Both these charts apply only to curricula that have period-wise or combined daily and period-wise attendance enabled.

At the bottom of the page, you will find a calendar-based chart and table view of the student’s attendance for the selected duration. Both these views differ based on the configured attendance setup - daily, period-wise, or a combination of both.

Below is an overview of how the views appear for each attendance setup:

1. Daily attendance view:

  • Calendar chart: Displays singular color-coded cells for each day, representing students’ overall attendance data. Hovering over the cell reveals the attendance status for that day.

  • Table: Displays attendance records by date, including columns for the marked daily attendance and corresponding attendance code, along with any notes for context.

2. Period-wise attendance view:

  • Calendar chart: Displays period-wise color-coded cells for each day, representing more granular attendance data for students. Hovering over any cell reveals the period-wise attendance status for that day.

    • If multiple attendance categories are marked across different periods on the same day, only two colors will appear in that calendar cell. Hover over the cell to view a full breakdown of all categories recorded for that day.

  • Table: Displays attendance records by date, with columns for period-wise attendance codes marked for the student.

3. Daily and period-wise attendance view

  • Calendar chart: Displays color-coded cells for each day, representing students’ overall attendance data. Hovering over a cell reveals the daily attendance status for that day.

  • Table: Displays attendance records by date, with columns for the marked daily attendance code, followed by period-wise attendance codes.

These variations cater to different attendance requirements, allowing for tailored tracking and analysis of student attendance patterns.

💡The light grey cells in the calendar chart represent non-operational days, while the dark grey cells indicate operational days where attendance was not marked.
