How can I download portfolio posts of students as a school administrator?

As a school administrator, you can download student portfolio posts directly from the admin portal. You have the option to bulk download posts for all students in a specific year group for a selected academic year, or download posts for individual students across multiple academic years. Whether your school is preparing for an academic transition or maintaining offline records, this process ensures quick, centralized access to student portfolios. Let’s explore this further in a few simple steps.

Download student portfolio posts in bulk

Follow these simple steps to download the posts of students in bulk.

Step 1:

  • Navigate to the ‘Students’ section from the left pane in the admin portal.

  • Click on the three-dot menu at the top and select the ‘Download portfolio’ option.

Step 2: In the pop-up window, select the year group for which you want to download student portfolio posts.

Step 3: Next, you will see the following options:

  • Current and past academic years (if applicable) for the selected year group. Select the relevant academic year to download the students’ portfolios. Note that you can download portfolios for only one academic year at a time per year group.

  • Additionally, you will be asked to choose how you want to download the student portfolios - either including only the posts where the students are tagged individually, or all posts where the students are tagged (including group posts).

    • If you select the second option, then you will need to confirm that your school has obtained the necessary permissions to use and share any content featuring multiple students.

Once done, click on ‘Request download’. A download link will be sent to your registered Toddle email ID once it is ready. Note that the download time may vary based on the volume of portfolio data.

Step 4: You will receive an email containing a download link to a spreadsheet file, as shown below.

Step 5: Once you open the downloaded spreadsheet, you will see a list of students from the selected year group along with a dedicated portfolio download link for each student. Click on the preferred student’s link to download a zip file of their portfolio.

Here’s what you will see in the downloaded zip file:

  • Student’s portfolio media files organized as follows:

    • First, by class - each class has its own folder.

    • Within each class folder, files are further sorted into month-wise folders.

  • An ‘index.html’ file is also included in the zip, which can be opened in any web browser to view a consolidated version of the student’s portfolio.

  • This portfolio view:

    • Organizes posts by class.

    • Includes filters to sort posts by date or search for specific ones.

    • Allows you to scroll through posts or click individual media files to view them in detail.

Download individual student portfolios

Follow these simple steps to download the posts of students individually:

Step 1: To download portfolio posts of an individual student, click on the three-dot menu next to their name.

Step 2: Next, select one or more academic years for which you would like to download a student’s portfolio. Additionally, choose how you would like to download the portfolio - either including only the posts where the student is tagged individually, or all posts where the student is tagged (including group posts).

Once done, click ‘Request download’.

Step 3: An email will be sent to your registered email address containing the student’s portfolio for the selected academic years. Simply click the 'Download' button in the email you have received to save the portfolio zip file to your device.

Here’s what you will see in the downloaded zip file:

  • Student’s portfolio media files organized as follows:
