As a Reflective Project (RP) supervisor, you can actively guide students throughout their RP journey on Toddle. You can easily monitor student progress, provide valuable feedback, review their reflections, and assess their work - all directly from Toddle! Read this article to gain in-depth knowledge of how to supervise Reflective projects.

The RP dashboard is where you will see an overview of the progress of all the students you are supervising. To reach here, click on the ‘Reflective project’ card located on your homepage.
💡 Please note that you will see the ‘Reflective project’ card on the homepage only if you have been assigned as an RP supervisor to one or more students by your school administrator.
Next, click on the preferred year group you would like to view the student projects.

Guidance
This tab provides all essential resources to support the planning and assessment of the Reflective project. Each resource can be downloaded or viewed directly, giving you the necessary tools to support students in their RP journeys.
Student projects (RP dashboard)
This is a comprehensive dashboard where you can track the progress of students under your guidance. This includes their research question, ethical dilemma, number of deadlines met, draft and final essay submission status, number of reflections completed, supervisor hours, marks, overall progress, and the date and time of the latest edits made to the essays. In addition, there are some interesting features to boost your efficiency:
‘Badge’ icon: Located on the extreme left to indicate if students have made any updates to their work.
‘Configure columns’ icon: Located on the top right; allows you to select the columns you wish to have in the dashboard and arrange their order.
Filters: Enables you to filter the dashboard view based on the essay status, overall progress, student’s registration category, and the last modification date.
Download options: Allows you to download students’ draft and final essay files, along with supporting documents for offline use. You can export the submission files for individual students using the three-dot menu against their name or do it in bulk using the options available at the top. Additionally, you can download all your students' predicted grades and comments in a single spreadsheet.
Bulk actions: Perform actions in bulk, such as changing the status or overall progress of students’ essays. You can choose to apply these actions to specific students or all students.
Gradebook
The ‘Gradebook ‘tab of the Reflective project offers a seamless way to track and edit students' RP grades, the completion status, and hours spent by you as a supervisor from a single place.

Deadlines
This tab lists the preset deadlines created by Toddle and those added by your RP coordinator. For Reflective project, Toddle creates two deadlines for draft and final IB submissions.
For each deadline, you will find essential details, including the title and description, submission status (open or closed), due date, closing date, number of students assigned, number of submissions received, and the number of submissions marked as complete.
To review submissions against a deadline, simply click on it. We will delve deeper into this further in the article.
Viewing other student deadlines
To see the other deadlines of students, navigate to the ‘Calendar’ card on your homepage. Use the tags in the left pane to filter deadlines for other DP/CP core components, school events, or class assignments. You can also switch between agenda, weekly, and monthly views using the toggle in the top right corner. This gives you a comprehensive view of the student’s workload across their different engagements.
Supervising Reflective project
Clicking on a student's name on the reflective project dashboard will lead you to their individual project, where you can review their proposal, provide feedback on their reflective project, add supervisor comments, and evaluate their reflective project. Let's explore this process in detail:
Proposal approval
The 'Proposal' section is where students submit an initial proposal for the Reflective project. Here, they can provide essential details, such as the issue being addressed, the research question, the ethical dilemma, additional supporting documents, and other important information.
To have a one-on-one conversation with the student about any project element, simply click on the comment icon located above the respective field. If you notice a red badge next to any section in the left pane, it indicates that the student has left a comment for you or made updates in that section. Additionally, a red dot on the comment icon will tell you the exact field where a comment has been added. This behaviour applies to tracking comments in other sections as well.
If you are satisfied with the proposal, you can change the project status to ‘Approved’ as shown below. The student will receive a notification regarding this.
Furthermore, the proposal details are displayed in the ‘Overview’ window, which can be accessed from any project section.
RP Plan of action
The ‘Plan of action’ section can be used by students to stay organized and set deadlines for themselves. You can review this plan and encourage them to align these deadlines with the overall deadlines set by the school’s RP coordinator.
The 'Plan of Action' table is highly flexible, offering a range of features that you and your students can use to meet your specific needs:
Flexible row and column management: Add rows and columns at specific points or at the end of the table. Additionally, use the six-dot menu to delete rows and columns where needed.
Customizable column titles: Personalize column titles to align with your planning preferences.
Resizing and reordering: Resize columns by dragging the column edge to better accommodate content. Additionally, use the six-dot menu to reorder rows or columns by dragging and dropping them.
Text Formatting options: Select text to apply formatting such as bold, italics, underline, or add hyperlinks as required.
Task completion indicator: Tick off completed tasks
Journal
The ‘Journal’ section is where students can record reflections throughout their essay writing process to improve their work. They can also use this space to prepare for reflection sessions with you as their supervisor.
Reflections may be documented as notes, photos, videos, links, and more, and you can view and comment on each one. Moreover, you can add reflections on the student’s behalf using the ‘Add’ button at the top. The three-dot menu gives you the option to edit the reflection, its date, or delete it altogether.
These journal entries are displayed in the ‘Journal’ window, which can be accessed from any section.
Presentation and feedback
This section is where students can upload their interim presentation, and you can provide feedback on it using the rubric provided by the IB. Through the presentation, students can showcase their research findings and initial thoughts not just to their supervisor but also to peers or other suitable individuals within the school or community.
Students would typically upload their presentation files/links here, along with any supporting notes they plan to use during their presentation. However, as a supervisor, you also have the option to upload presentation files/links on behalf of students using the ‘Add’ button. Each file can be downloaded, renamed, or deleted using the three-dot menu.
Below the uploaded files is a structured rubric that helps guide supervisor feedback, as defined by the IB. For each criterion, you can evaluate and record observations or comments in the ‘Feedback’ column.
💡This presentation is intended for internal evaluation only and is not submitted to the IB.
Essay submission
In the ‘Submissions’ section, you can view student submissions - including the draft and final versions of their Reflective project, along with supporting documents - uploaded against the preset deadlines in Toddle. Alternatively, you can upload the file(s) on their behalf using the ‘plus’ option provided.
If your school administrator has enabled Turnitin check for Reflective project, you will be able to view the similarity index for each student's submissions. Refer to this article for more information on how to integrate Turnitin for your school on Toddle.
You can view other key details, including the due date, closing date (if any), and the current submission and completion status for the draft and final submission deadlines. Use the three-dot menu next to a submission file to download, rename, view submission details, or delete it. Note that you can only rename or delete files if the submission is unlocked.
Click on the attached files to view or annotate them directly on Toddle. It is important to note that only draft files can be annotated.
As you click on a student’s submitted file, you will land on the page below.
Here, the submitted file appears in the main section, where you can annotate it directly within Toddle. If the submission is a Google or Microsoft document link, you can use the respective platform’s annotation tools within Toddle. For PDF submissions, Toddle’s built-in PDF annotation tools can be used, as outlined in this article. Your annotations will be visible to students in real time when they access their files through their portal.
The right panel here displays key submission details, including the student’s name, submission status, and uploaded file(s). You have the option to upload files on behalf of the student from here as well, using the ‘Add a file’ option. The three-dot menu next to each file offers additional options, similar to those shown in the previous page.
After you have completed the review, you can click the ‘Mark as Complete’ button in the top-right corner. This will automatically close the submission and notify the students of their reviewed submission. You can also manually open or close an individual submission using the lock icon at the top.
Back on the ‘Submissions’ page, the same options are available to mark a submission as complete and manually lock or unlock it.
Please keep in mind that if the auto-lock setting is enabled by your school administrator, student-submitted files will be automatically locked within fifteen minutes of upload. Students will not be able to make any changes to the locked file unless you unlock it for them.
In addition to the ‘Submissions’ section, you can also access student submissions from the ‘Deadlines’ tab. Here, you can track submissions for both pre-set deadlines created by Toddle and custom deadlines added by your RP coordinator. For each deadline, you can get a quick view of the number of students who have turned in their work or had their submissions marked as complete by clicking on the corresponding number, as shown below. To view submissions of a specific deadline, simply click on it.
💡Note that you can only view submissions for the students that you supervise.
As you click on a deadline, you will be taken to the 'All Submissions' page, where you can manage submissions using bulk or individual actions. Each row displays the student’s name, any uploaded submission file(s), their similarity index, submission status, and completion status.
Use the toolbar at the top to apply bulk actions to multiple students or the three-dot menu next to a student’s name for individual actions. Available actions include:
Opening or closing submissions
Marking submissions as complete or pending
Downloading submitted files
💡Once you mark any of the submissions as complete, it will automatically lock the submissions.
To manage individual submission files, click the three-dot menu next to the file. To view or annotate individual submissions, click on the student’s name. This will open the submission in a new page, where you can take the same actions as in the ‘Essay’ section, including annotation and file management.
Assessing student work
In the ‘Assessment’ section for RP, you can evaluate and record key aspects of the student’s work. This includes:
Supervision hours: Record the total number of hours spent supervising the student for their essay.
Assessment: Evaluate the essay against specific criteria using a numerical scale. Detailed level descriptors can be accessed via the ‘information’ icon.
Grade: Assign an overall grade (A–E) based on the IB grading scale, with descriptors available for reference by clicking the ‘information’ icon.
Supervisor’s comment: Provide a detailed justification for the evaluations made above. This comment will serve as internal feedback to support the assessment.
Note that this section will be visible to students and their family members in view-only mode if enabled by the coordinator.
Once the student has submitted their final essay, and the assessment has been done, you can mark the Reflective essay as complete. The student will receive a notification about the same.
Please note that no edits can be made to any of the essay elements after you mark it as ‘complete’.
Key features
Comments window
This window enables smooth collaboration between students and supervisors. By clicking the chat icon next to specific essay sections, you can exchange feedback or updates in the panel on the right. The text box at the bottom allows you to include emojis, tag users, or add voice notes. All comments are organized in a thread format, making it easy to track conversations related to the essay.
Review log
The Review log promotes collaboration between students and teachers by letting students request a review from their supervisor and seeking feedback. You will receive notifications and view numbered badges to stay updated on these review requests. Within the Review log window, you have the option to comment, resolve, or delete these requests. To view the requests that have been resolved, click on the ‘Resolved’ tab.
Overall progress
Throughout the RP journey, you can indicate the student’s overall progress by selecting an option from the dropdown menu in the top right corner. The student will receive a notification each time you change the status of their overall progress.
Interim deadlines
Click on the purple icon in the right pane to view the interim deadlines set by your coordinator and mark them as achieved once a student has completed the required tasks.
RP reporting in progress reports
As a supervisor, you can report on a student's RP progress through their progress report. The progress report, configured by your school administrator, includes an RP section under ‘CP core’ to help you evaluate your students effectively. Let's explore this in detail.
In this section, you will find the following details:
Status: The status displayed in the top right corner of the report is directly pulled from the RP module, indicating whether the student’s status is started, approved, or completed. This cannot be edited within the report.
Description: Use this section to provide an overview of the student’s RP directly in the report.
Basic details: This section includes the project title, supervisor details, and hours spent by the student. This section is pulled directly from the RP module and cannot be edited in the progress report.
Research question: Displays the specific project question the student is addressing.
Issue: Describes the broader real-world context the student is exploring.
Ethical dilemma: Explains the central ethical conflict the student is investigating.
Supervisor details: Displays the name of the assigned RP supervisor along with the recorded hours spent supervising the student.
Assessment criteria: Displays the criterion-based scores and comments for the student’s RP. These ratings are pulled from the RP module, but you can override them in the report.
Total score: Displays the student’s cumulative score for RP, out of 34.
Grade summary: Displays the student’s ‘Overall progress’ and ‘Grade’ which are automatically filled based on the assessment done by you in the RP module. You can also edit this section directly in the progress report, with any edits syncing back to the RP module.
Overall progress: Displays an assessment of the student’s performance with qualitative descriptors, as evaluated by you.
Final grade: Displays the IB grade (ranging from A to E) awarded by the supervisor in the RP module.
Supervisor’s comment: Provide personalized feedback on the student’s performance in the RP. If you have added a comment in the RP module, it will be pulled into the report and can be edited directly within the report. Note that the system pulls your comment from the RP module only when generating the report set. Any changes you make to the comment afterward, whether in the RP module or the progress report, will not sync.
💡Please note that any changes made either in the progress report or the RP module will automatically sync and reflect in both places. However, any changes made in the RP module will appear in the report only when the report is unlocked.
With these steps, RP supervisors can efficiently manage and assess their student projects, ensuring seamless assessment and collaboration.
