How can I set up and manage IB CP Community engagement on Toddle as a school administrator?

Community engagement (CE) is a foundational pillar of the IB Career-related Programme (CP), encouraging students to take principled action and reflect meaningfully on their role within the wider community.

As a Community engagement coordinator, you can efficiently oversee your school's CE program on Toddle while adhering to IB guidelines. This involves configuring settings for CE, inviting advisers, mentors, and students to access the CE module, sharing relevant resources with them, monitoring students' overall progress in fulfilling their CE requirements, and providing constructive feedback.

Configuring settings for CE

You can configure various settings for Community engagement to suit your school’s needs. Let’s understand these in detail.

Configuring CE roles and permissions

You can manage the list of coordinators for the Community engagement from:

Programme level configurations (CP) → Module settings → ‘Core, IA and EA’ section → ‘Project roles and permissions’ section

On this page, click ‘Edit’ to add one or more coordinators for the Community engagement as required.

For students

You can manage student-related settings for CE from:

Programme level configurations (CP) → Module settings → ‘Core, IA and EA’ section → ‘Settings’ section

On this page, you can enable/disable the following settings:

  1. Allow students to view their SL (now CE) interviews

  2. Allow students to upload and edit their SL (now CE) interviews

  3. Auto-lock SL (now CE) interviews submitted by the students: When enabled, this feature automatically locks the interviews added by the students within 15 minutes of submission.

Visibility of Community engagement to Family

You can access the family visibility of all DP/CP core modules from:

School wide configurations → Settings →’Module on/off’ section → ‘DP’ tab

💡Please note that when enabled, families will have a read-only view of their child’s Community engagement only on the web platform, not in the app.

Progress indicators

As an administrator, you can configure the overall progress as well as progress indicators on CE learning outcomes from:

Programme level configurations (CP) → Academic setup → Project progress indicators

Overall progress indicators

The first section enables you to configure the overall progress indicators for CP projects. Click the Edit’ button to modify existing indicators or create new ones. It will display a list of indicators by default.

In the pop-up window, you can:

  • Add new indicators: Easily create additional indicators by clicking the Add Indicator’ option.

  • Rearrange the order: Drag and drop to reorder the indicators based on your preference. This will impact the order in which indicators are seen at the teacher’s end.

  • Edit existing indicators: Modify the name of any existing indicator. Please note that the revised name will automatically reflect on the student’s CE.

  • Delete indicators: Remove indicators that are no longer needed. When deleting an indicator, be mindful that all learning outcomes marked with that indicator will revert to the default indicator.

💡Any changes you make to the learning outcomes progress indicators will apply to both the current and past academic years.

Once configured, coordinators, advisers, and mentors can use the overall progress indicators to assess their students’ progress, such as from within their individual portfolios. Additionally, the evaluation history panel on the top-right displays changes to the overall progress over time, allowing them to track previous evaluations alongside the current status.

Project progress indicators

The second section enables you to configure the progress indicators on CE learning outcomes. The process is the same as that described above for overall progress indicators.

Once done, coordinators, advisers, and mentors can use the revised progress indicators to assess their students’ progress on LOs directly within individual portfolios. Additionally, the evaluation history panel on the bottom-right displays changes to the LO progress over time, allowing them to track previous evaluations alongside the current status.

Setting up the CE module

To begin setting up the CE module for your school, click on the ‘Community Engagement’ card on the homepage under Projects.

Next, select the preferred year group for which you want to configure the setup. Note that Community engagement will only apply to the IB CP cohort starting from August 2025.

On the left side of the landing page, choose the ‘Setup’ tab, as shown below.

Here, you can upload resources for advisers and students. Additionally, you can invite teachers as CE advisers and allocate students to them. You can also invite teachers as CE mentors who will oversee the different CE engagements of the students. Let’s understand these steps in detail in the following sections.

Sharing CE resources

Choose ‘Add adviser guidance’ or ‘Add student guidance’ on the setup page and add relevant resources using the ‘Import’ or ‘Edit’ button. Here, you will also see the resource(s) that have been added by Toddle for your reference. All resources added under these two sections will be visible at the advisers’ and students’ ends, respectively.

Inviting students

For students and teachers to access the Community engagement module on their portal, the first step is to invite them. This can be done using the ‘Invite students, advisers and mentors’ card from the setup page.

On the landing page, you will see two sections in the left pane. Under the ‘Students’ tab, you will see a list of students invited to CE, if any. To add new students, click on the ‘Invite’ button.

On this page, you will find a list of all students in the selected batch. You can select them individually or add them in bulk using the first ‘Select’ option.

Once you click on 'Invite', all selected students will have the ‘Community engagement’ card added to their homepage on Toddle, allowing them to begin working on their portfolio. If you have inadvertently added a student, promptly rectify it using the 'Remove' option.

Inviting advisers and mentors

To invite teachers who will be advising or mentoring CE, select the ’Advisers and mentors’ section from the left pane. Any previously invited teachers will appear here. To add new teachers, click on the ‘Invite’ button.

On this page, you will find a list of all staff members in your school across different curricula, in case you have multiple curricula on Toddle. You can select them individually, add them in bulk for each curriculum, or for all curricula at once. Each teacher's curriculum affiliation is shown below their name for easy identification.

Once you click on 'Done', all selected staff members will have the ‘Community engagement’ card added to their homepage on Toddle, enabling them to start mentoring portfolios for their assigned students.

Approving CE mentor request

If students have requested to add a teacher as their mentor who has not been invited to CE yet, you will receive an approval request for the same. The mentor’s name will also appear with an 'Approval pending' status, as highlighted below. You can take either of the following actions:

  1. To approve or reject the individual request, use the three-dot menu next to their name.

  2. To review all pending requests at once, use the 'Pending approvals' button located at the top of the page.

On the ‘Pending approvals’ page, you can approve/reject the requests individually or in bulk using the provided options. Once you have approved the request, the mentors will gain access to the student's CE engagements on their portal and can begin their review.

Mapping students and advisers

Once you have added students and advisers to the CE module, you can proceed with the mapping process. There are two methods available for mapping:

Option 1: Through the ‘Students’ tab

Under the ‘Students’ tab, use the dropdown menu to assign an adviser to each student. The dropdown will list all advisers who have been invited to the CE module.

You can change the adviser at any time using the dropdown. Additionally, you have the option to remove an adviser by using the ‘Remove’ column.

Alternatively, you can assign advisers in bulk by selecting multiple students and assigning them a common adviser using the option at the top. You can also use the filter to narrow down the list of students based on their assigned adviser.

Option 2: Through the ‘Advisers and mentors’ tab

Under the 'Advisers and mentors' tab, utilize the 'Assign students' option to associate one or more students with a specific adviser. You can also use the filter to narrow down the list of advisers by their curriculum.

From the pop-up window, select the students whom you would like to map the adviser to. Once done, advisers will be able to access and review the CE portfolios of students assigned to them from their portal.

You have the option to remove an adviser or change the assigned student(s) at any time by using the three-dots menu located under the 'Actions' column.

Editing engagements being mentored

For teachers who are mentoring students for certain engagements, you can view and remove those engagements from the ‘Advisers and mentors’ tab.

To view the engagements they are mentoring, you can either directly click on the number under the ‘Engagements mentoring’ column or use the ‘Edit engagements mentoring’ option from the three-dots menu against their name.

From the pop-up window, you can review all the engagements that the teacher is mentoring. If required, you can remove the engagements from the list using the ‘-’ icon next to them. Once satisfied, click ‘Done’ to save the changes.

CE dashboard

Once the setup is complete and students have started working on their CE portfolios, you can easily keep track of their progress through the CE dashboard. Navigate to the ‘Portfolios' tab for a comprehensive overview of the CE progress for all students in the selected CP batch.

It includes the number of CE engagements added, LOs achieved, the number of review points completed, overall progress, and the last modified date and time for each student’s portfolio.

You can customize your dashboard by selecting and arranging the columns according to your preference using the ‘Configure columns’ icon.

Furthermore, the dashboard offers the following filter options to help you search for relevant CE portfolios:

  1. Adviser: To view CE portfolios of students assigned to specific advisers.

  2. Status: To filter CE portfolios based on their status.

  3. Overall progress: To filter CE portfolios based on their overall progress. As an administrator, you can configure these project progress indicators within the ‘Academic setup’.

  4. Category: To view CE portfolios based on the students’ registration categories.

  5. Last modified: To view CE portfolios based on the date and time of their last edits.

Bulk actions

As a CP coordinator, you can efficiently manage students’ CE portfolio status as well as their overall progress. To do so, select the students you want to update the status for and select the preferred option from the ‘Bulk action’ menu.

Viewing CE portfolios

To get more information about a particular student's CE portfolio, click on their name to access their landing page. This page contains comprehensive details of the student's CE portfolio, including a list of their engagements, their overall interests and goals, evidence collected against the 4 learning outcomes, feedback received, and comments from the CE review points.

You can take the following actions from here:

  1. Review and provide comments on interests and goals

  2. Review evidence and mark LOs as achieved and update their progress indicators

  3. Provide overall feedback

  4. Log comments for CE review points

  5. Add/edit/delete CE engagements

  6. Provide feedback on CE engagements

  7. Update the overall CE completion status

  8. Update or view the overall progress and its evaluation history

Once you scroll down, you can explore insights into students’ CE performance across the 4 learning outcomes defined by the IB. The table shows the achievement status of each learning outcome, along with the number of engagements, evidence, overall progress levels, and its evaluation history.

Viewing CE engagements

The 'Engagements' tab provides a comprehensive list of all the engagements undertaken by CP students in the selected batch. This tab enables you to quickly review key information such as the engagement name, assigned mentor, number of learning outcomes tagged, number of evidence and reflections, and duration for each engagement.

To view details or provide feedback on a specific CE engagement, click on its name.

To simplify this view, you can use the ‘configure’ icon. Additionally, utilize the filter options to search for specific engagements by mentor(s), student(s), status, students’ registration category, last modified timeframe, and active/archived view.

You can also archive or delete engagements by using the three-dot menu under the ‘Actions’ column. Note that ‘Archived engagements do not count towards portfolio insights. Moreover, deleted engagements can be restored from the bin highlighted below.

Bulk actions

As a CP coordinator, you can efficiently manage students’ CE engagement status and archive/delete them in bulk. To do so, select the respective engagements and click on the preferred option from the ‘Bulk action’ menu.

CE Gradebook

The 'Gradebook' tab of the Community engagement offers a seamless way to update students’ overall progress status, mark the progress and achievement status of learning outcomes, and add overall comments - all from one place. As a coordinator, you can use this gradebook to access and edit portfolios of all students in the selected batch. To learn more about the CE Gradebook, refer to this article.

Viewing CE insights

Through the ‘Insights’ tab, you can view the consolidated CE progress of all students in the selected batch. These are organized into two tabs:

  • Overview

  • Progress on learning outcomes

Overview

This tab lists the total number of engagements with a status breakdown (Draft, Approved, and Completed) for each student. Click on any of the color-coded circles to view the list of corresponding engagement.

Progress on learning outcomes

This tab displays student progress across the 4 CE learning outcomes. For each student and learning outcome, you can view:

  • Status (Achieved/Not achieved): Shows whether the student has successfully met the learning outcome or is yet to achieve it.

  • Number of engagements: Displays how many engagements have been tagged to the learning outcome. These are further broken down by their status - Draft, Approved, or Completed - to help you track where the student stands in the process.

  • Number of evidences: Indicates the count of supporting evidences attached to the learning outcome.

  • Current progress indicator: Provides an overall progress label for the learning outcome, based on configurations set from the admin portal.

Click on any of the color-coded circles to view the corresponding engagement.

With this module, CE coordinators can effectively oversee students as well as guide mentors and advisers toward the completion of the portfolio requirements.
