How can I manage student enrolment and withdrawal dates as an administrator?

As an administratorm you can can record and manage student enrolment and withdrawal dates seamlessly within Toddle. These dates define each student’s active period in school and ensure that attendance and timetable data remain accurate. Read this article to learn more!

Navigate to the student roster

To view or edit enrolment and withdrawal dates:, navigate to:

  • Admin portal → Preferred school/curriculum → Members → Students

On the landing page, you will find a list of all students enrolled in the selected school/curriculum.

Manage enrolment dates

The enrolment date indicates when a student officially joins the school.

  • When a new student is added, the current date is set by default.

  • You can change it to a past date if needed.

  • The enrolment date cannot be set to a future date.

Manage withdrawal dates

A student’s withdrawal date indicates when the student officially leaves or is withdrawn from the school. To withdraw a student:

  1. Click the three-dot menu beside the student’s name.

  2. Select ‘Archive student’.

  3. Enter the withdrawal date (past or current only).

  4. Click ‘Archive to confirm.

Archiving a student:

  • Removes them from attendance lists after the withdrawal date.

  • Teachers and students will not be able to tag them in new posts, submissions, and other content (existing content remains visible).

  • Restricts family account access unless they have another active child.

Impact on attendance and timetable

Attendance and timetable modules use enrolment and withdrawal dates to determine visibility and reporting accuracy.

  • Attendance lists will automatically reflect only active students based on their enrolment period.

  • Attendance marking and reporting will also consider only active students on a given day.

  • The student’s timetable will display classes only between the enrolment and withdrawal dates.

  • If you enter a student’s withdrawal date to a past date, all attendance marked for the period after that date will no longer be counted in attendance reporting.

    • For example, if the current date is November 5 and you provide the withdrawal date as November 1, the student’s attendance records from November 1 to November 5 will be removed from the attendance records.
