Score and grade aggregation in Gradebook

We are excited to announce new updates in the student gradebook! You can now view aggregated scores and grades across subjects for each student within a grading period. This updated view is available to all users including students, families, teachers and admins. Read this article to learn more! We have used the MYP curriculum as an example but the feature works the same for all the curriculums.

Configuring score and grade aggregation

As an admin, you can configure which subjects to include for score and grade aggregation for each grading period, based on the curriculum. You can also manage calculation settings, such as the number of decimal places and whether scores are truncated or rounded off.

To begin, select the preferred curriculum from the admin portal and navigate to ‘Grading setup’ within ‘Academic setup’. Here, click on the ‘Score and grade aggregation’ tab in the left pane.

At the top, you will find a toggle for calculating aggregate scores. Ensure this is enabled to start configuring the aggregation of scores and IB grades.

Next, click the gear icon for each evaluation criterion to manage its calculation settings.

💡 Note that the IB grade is displayed only for MYP and DP curriculums.

Here, you can configure the settings individually for ‘Total’ and ‘Average’ calculations. Choose the number of decimal values to be shown and whether you want to round the scores (based on traditional rounding methods) or truncate them (cutting off decimal points without rounding).

Now, click the arrow icon for each evaluation criterion to select the subjects to be included in its aggregation.

On the landing page, you will see all grades for the current curriculum in the left pane, and the grading periods with a list of subjects on the right. Select a grade from the left pane, then click 'Edit' to choose whether to calculate the Total, Average, or both for the aggregation, for each grading period.

After selecting the aggregation type, choose the subjects to be included in the aggregation. If you don't want a subject to be included, leave it unchecked.

Additionally, you can click on the three-dot menu against a grading period to bulk apply the same configuration to other grading periods for that particular grade. Once done, click ‘Save to finalise the configuration.

Score aggregation in student gradebook

Once score aggregation is enabled and configured, the aggregated totals and/or averages across subjects will be displayed in the student gradebook for each grading period. Let’s see how admins, teachers, students and families can view it.

For Admins

To access these scores as an admin, navigate to the admin portal and click on the ‘Gradebook’ card within the curriculum of your choice.

After selecting your preferred year group, navigate to the ‘Student view tab within the admin gradebook. Here, you’ll find the total and average scores and IB grades based on your configuration.

You can click on the arrow icon against any student to get a breakdown of individual subject performance along with the aggregated scores and grades across subjects.

Admins can also download a copy of the student gradebook, which includes the aggregated scores and grades, ensuring you have a physical record for further analysis.

For teachers, students and family members

Educators, students, and family members can view these aggregated scores and grades by navigating to theGradebook tab within the student profile. This view allows all stakeholders to get a quick snapshot of the student’s performance by viewing a consolidated score that reflects progress across subjects for each grading period.

💡Students and family members will see the ‘Final grades’ tab only when the respective setting is enabled by the admin.
